Who is responsible for your data?

INWEMA is the controller of personal data processed in connection with INWEMA, Dit Bulgarien, Dit Montenegro and Poles in Denmark and enquiries received through these websites. This policy covers all four websites.

What information do we process?

When you use the contact form, we receive your name, email address and message. The form also sends the subject of your enquiry and the name of the website you are contacting us from. If you contact us by email or telephone, we process the contact details and other information you provide.

When you visit a website or submit a form, our providers may process technical information such as your IP address, browser type, time and requested page to deliver the website and protect it against misuse.

Please do not send CPR numbers, health information, passwords or confidential tax documents through the contact form. If documents are needed for a specific matter, we will agree with you how to send them.

Why do we use the information?

• To answer your enquiry. We use your contact details and message to understand your question and reply. General enquiries are processed on the basis of our legitimate interest in responding, under GDPR Article 6(1)(f).
• To prepare or perform a contract. Where your enquiry concerns advice you wish to purchase, processing is based on steps requested before entering a contract or performance of that contract, under Article 6(1)(b).
• To operate the websites. Technical information may be used for troubleshooting, security and spam prevention, based on our legitimate interest in reliable and secure operation under Article 6(1)(f).
• To improve the websites. If you accept analytics cookies, we use Microsoft Clarity to see how the pages are used, such as clicks, scrolling and pages visited. Processing is based on your consent under Article 6(1)(a). You can withdraw consent via Cookie settings at the bottom of the page.

Contacting us is voluntary. Your name, email and message are required to submit the form and allow us to reply. Your enquiry does not subscribe you to marketing.

This policy covers website visits and enquiries. If you become a client, we may need further information for the advice and will provide relevant information about that processing.

Who receives your information?

Staff and providers who need the information to respond or operate our websites and communications may access it. These include hosting, email and contact-form providers.

The forms use Formspree to receive, store and forward messages. Your form information is sent to Formspree only when you press “Send message”. You can also contact us directly by email or telephone.

Formspree states that it uses US infrastructure and the European Commission’s standard contractual clauses as a processor. Read about Formspree’s data processing and international transfer safeguards. Contact us for information about the relevant safeguards and a copy.

If you have accepted analytics cookies, information about your visit is sent to Microsoft Clarity, provided by Microsoft. This includes your IP address, device, browser, clicks, scrolling and pages visited. Text on the pages and anything you type in forms is hidden and not sent. The information may be processed in the United States, where Microsoft is certified under the EU-US Data Privacy Framework. Read Microsoft’s privacy statement.

We may also disclose information to authorities where legally required.

How long do we keep your information?

Retention depends on the purpose and content of the enquiry. We keep information as long as needed to answer and follow up, then delete it unless there is a specific reason to retain it, such as documenting a contract, a dispute or a statutory retention duty.

If an enquiry becomes a client relationship, relevant information may become part of the client file. Technical information is retained only as long as needed for operation, troubleshooting and security. Microsoft automatically deletes Clarity analytics after no more than 13 months. Contact us to ask what information we still hold about an enquiry.

Your rights

Depending on the processing and the conditions in data protection law, you may:

• access the information we process about you and obtain a copy;
• have inaccurate information corrected and incomplete information completed;
• have data erased or processing restricted;
• object to processing based on legitimate interests;
• receive information you provided in a commonly used electronic format where data portability rules apply.

If processing is based on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing. We do not use contact-form information for automated decisions or profiling.

Email info@inwema.dk to exercise your rights. We may need to confirm your identity. You may also complain to the Danish Data Protection Agency.
